Terms & Booking Conditions

Knights Away - Motor Home & Camping Land Rover Hire

Please ensure you have read and fully understand the terms and conditions of hiring a vehicle from us before making a booking.
Once you have paid a deposit, full balance or the security deposit we cannot offer a refund should you find you have not accurately complied with the information supplied here.

You will be required to a sign a copy of this document on collection which makes the agreement fully binding.

Driver
  • Drivers may need a C1 endorsement, please double check your license allows you to drive a Motor home that weighs more than 3500KG if you are hiring Galahad.

  • All drivers must be between the ages of 25 and 72 for Insurance purposes

  • A DVLA license check will be completed by ourselves and a copy kept.

  • They must have held a Full UK driving license for a minimum of 2 years.

  • Drivers license must be free of endorsements except minor speeding or parking

    offences, however you must make us aware of these at the time of booking or should they become active between the time of booking and completion of your period of hire of our vehicles.

  • Drivers who passed their test after 1996 may be restricted on the weight of motorhome they are permitted to drive, please check with us if you are unsure.

  • Licenses must be produced at the time of vehicle collection and we will take a photograph of your license for our records.

  • Visitors from abroad must produce a valid unendorsed domestic driving license or international driving permit.

    The price covers one named driver; additional drivers may be added at an additional charge of £30.00 per driver per day subject to meeting the above terms of hire.

Insurance
  • Comprehensive insurance is provided for one driver as part of the hire agreement & whilst travelling within the UK.

  • There is a £1000 excess which must be paid by the hirer following any incident where an insurance claim is made, this is in addition to the security deposit.

  • We do not permit travel outside of the UK (Northern Ireland, Channel Islands & Isle of Man are classed as UK travel)

  • This insurance cover does not include cover for personal belongings. We advise that you should take out separate travel, holiday and personal belongings cover for the duration of your holiday and strongly advise that this should be taken out on the day of booking.

Documents Required
  •  On arrival to collect one of our vehicles, you will be asked to show your driving licenses of any party who will be driving plus two proofs of address i.e. utility bill, no more than 90 days old is acceptable.

  • A bank statement is also acceptable. We will photograph these documents for our records.

  • Please note we cannot accept a mobile phone or water bill as acceptable proof of address.

Booking Procedure & Payment
  • An initial deposit of £250 is required which is non-refundable and must be paid at the time of booking, should you have to change your travel dates up to 8 weeks prior to departure we will try to accommodate a change of dates so that you do not lose your deposit, however this is subject to availability, change of dates must be taken within 6 months or during off peak dates and the deposit can only be transferred once. If we cannot rearrange dates for you to mutual agreement, the deposit becomes non-refundable.

  • We strongly advise that you take out insurance at the time of making your booking.

  • The full balance, including security deposit, is due 8 weeks prior to your collection date, or at the time of booking if you book less than 8 weeks from the start date of your hire.

  • We will send you an email to remind you.

  • At this point, the balance is non-refundable

  • These terms and conditions, including the cancellation policy, become binding at

    the time of booking and by paying your deposit, balance and or security deposit

    You are acknowledging acceptance of these terms and conditions.

  • Knights Away does not hire out any vehicle on any other terms and conditions.

  • Payment is made via the booking page of our website or via a secure payment

    link we will send to you.

Security Deposit
  • The security deposit of £1000 is payable when the balance is due to cover any damage to the vehicle or damage/breakages of the equipment.

  • When the vehicle is returned, it will be checked over, and if the following are found to be satisfactory, we will return the security deposit by bank transfer immediately, which may take your bank up to 5 days to process.

  • The vehicle will be checked for the following:

  • It is returned in the same condition it was let out.

  • Toilet and waste water tank empty and cleaned inside and out

  • Interior clean, including all cooking appliances

  • Fuel tank replenished.

  • Knights Away reserve the right to deduct any amount which we determine to be due to us from the security deposit to cover the cost of the above as detailed below:

  • FUEL - up to the value of filling the tank to full plus £75 admin charge.

  • INTERIOR CLEAN - £100 for valeting

  • TOILET & WASTE TANK CLEANING - £100

  • STAINED FLOORING/SEATING/FURNITURE - £100 per identified stain.

  • Damage to the leather interior - quotes will be obtained for repair before the release of your security deposit.

Damage & Cleanliness
  • Whilst we will make no charge for small breakages or damage please inform us immediately during your hire time to enable us to order replacements so that the next hirer is not inconvenienced and to deal with any insurance claim should the need arise.

  • For the avoidance of doubt, the vehicle needs to be returned in a clean and undamaged condition as outlined above.

Vehicle Hire Cancellation Charges
  • More than 8 weeks before: Booking deposit can be moved to an alternative date, subject to availability as detailed above. We strongly advise you to take out holiday insurance to cover your holidays at the time of booking. Bookings can only be moved once.

  • If you cancel after the full balance has been paid and up to 2 weeks before your collection date, you may lose the whole amount if you have not taken out insurance. We will always try to refill the booking, but we cannot guarantee this eventuality. If we are able to fill the booking at our discretion, we will allow you to move your dates, subject to availability. As above, the dates can only be moved once.

  • 2 weeks – No Show: We are unable to refund any balance paid, and you must claim on your insurance, subject to the terms and conditions of the insurance you have taken out.

  • A “No show” is deemed as the hirer not presenting themselves on the first day of the rental period and not communicating to Knights Away prior to this date that they wish to collect the vehicle on an alternative date. In the case of a no-show, the booking will be cancelled at 5 pm on the first date of the hire period, and the vehicle will be released as available on the booking system. No refunds will be due in this circumstance.

Collecting the Vehicle
  • Your vehicle will be available to collect from Knights Away at the following address - KVMS CHESTER LTD, Broughton Mills Industrial Estate, Broughton Mills Road, Broughton, Chester, CH4 0BY

  • The vehicle will usually be available for collection from 1 pm on the first day of your rental period.

  • Please allow at least 1 hour for the handover of the vehicle. We want you to enjoy your holiday to the full – time spent in familiarising yourselves with your new “home” will help to ensure that you get the maximum benefit from your hire. You are advised to check the vehicle thoroughly before leaving our premises.

  • With prior arrangement, one customer vehicle can be left at our premises; however, KVMS or Knights Away accepts no responsibility for any damage that might occur. Please contact KVMS prior to collection if you would like any servicing, valeting or MOT testing done on your vehicle whilst you are away.

  • We reserve the right to cancel the booking at any point upon collection if the hirers evidence does not meet the requirements of our insurance as detailed or if you have not complied with the requirements in the Terms and Conditions which you accept on paying your deposit.

  • There can be no return of deposit or hire charges for this reason.

Returning the Vehicle
  • Late returns will impact the next hirer, out of courtesy all vehicles must be returned to KVMS by 10 am on the final day of your vehicle hire period, you may return the vehicle on any previous day (except Saturday & Sunday) by mutual agreement with Knights Away, however there are no refunds for early returns.

  • Please allow an hour to return the vehicle so that we can carry out our returns assessment whilst you are there.

  • Returns must be made to a staff member of KVMS &/or Knights Away who will get you to sign the vehicle back into us, if no signature is pertained, then the security deposit will not be returned.

  • The vehicle must not be left off the premises - this will not be considered a return of the vehicle, and in this event, the security deposit will not be returned.

  • If you fail to meet the return time, you will be liable to an extra charge of £75 per hour, further more all our vehicles are fitted with trackers, and late return would result in us reporting the vehicle as stolen.

  • Upon return, we will check the vehicle for damage, cleanliness, etc., including the condition of the tyres and windscreen, which are not included in the Company’s insurance cover and any damage to which is the hirer’s responsibility.

  • The insurance provided is only valid for the period of hire there for any late returns would constitute a traffic offence under the RTA – invalid insurance means the main hirer & any subsequent drivers become personally liable for any accident or damage to the vehicle or 3rd party or 3rd party personal injuries.

  • Lost property is the responsibility of the hirer. Please ensure you have removed all personal belongings before returning the vehicle. Items left will be donated to charity if not collected within 2 weeks.

Your Responsibilities Whilst In Possession Of The Vehicle
  • You take full responsibility for the vehicle and keys on collection. The vehicle must be locked at all times when unattended.

  • You must drive and park the vehicle with great care. If the vehicle is found to be damaged by negligence ( ie, no other person or vehicle is involved) the hirers will be responsible for the full costs of damage repairs, which will be taken from the security deposit.

  • Hirers must not use the vehicle for hire or reward, illegal purpose, racing, pace making or driver tuition whilst in their possession.

  • Repair damage to the windscreen, tyres and punctures are the hirer's responsibility; you are required to check the condition of the tyres daily.

  • Speed limits must be adhered to, and our tracking system will send us alerts if the vehicle is being driven in excess of speed limits.

Breakdown
  • Our vehicles are maintained in accordance with the manufacturer’s instructions

  • Full roadside assistance is provided and will be explained at handover and is

    included in your information pack.

  • If repairs are required to the vehicle please contact us.

  • Our liabilities and responsibilities are limited in the event of a vehicle breakdown

    whilst on hire, including loss, damage or expenses incurred during such situation.

Smoking & Candles
  • Smoking inside the vehicle (in both the cab area/tent and/or living area) is strictly prohibited at any time.

  • The use of candles inside the vehicle (in both the cab area/tent and/or living/ sleeping area) is strictly prohibited at any time.

  • Failure to comply with this will result in the forfeit of the security deposit in full.

Pets
  • Our vehicles are dog Friendly (max 2) and at prior agreement with us.

  • Any damage incurred by this agreement will be charged to the hirer in full.

  • Hirers should refer to the highway code section 57 regarding restraint of dogs in

    a moving vehicle.

  • Part of the agreement is our Paws on the Floor policy which there for requires

    the use of a crate/enclosed dog seat during movement of the vehicle as dogs are

    not permitted on the seating.

  • Any damage caused would require us to obtain a quote for the repair, in this

    circumstance your security deposit would not be returned until we have obtained

    this and the relevant deduction made to cover reupholstery.

  • We know your dog is part of the family and fully expect that they will be going

    everywhere with you on your adventure, please note it is not permitted to leave your dog in the vehicle when you are not there unless they are crated. Please ensure your dog is used to this if you plan to leave them so as not to distress your pet or cause a nuisance to neighbours on a site if your dog does not settle in the crate. We also recommend leaving a contact number with anyone you are parked close to.

Seatbelts
  • The vehicles are fitted with a minimum of 4 seatbelts (2x cab seatbelts and 2 passenger seatbelts)

  • These are to be worn at all times when the vehicle is in motion.

  • Appropriate car seats must be used for children in accordance with the law.

  • It is the responsibility of the hirer to fit any child seats themselves without

    damage to the vehicle.

  • Knights Away takes no responsibility for any ill fitted child restraints or seatbelts

    not being worn.

Campsite Bookings
  • It is the responsibility of the hirer to prebook and confirm all caravan and camp sites they intend to stay at during the holiday.

  • Knights Away takes no responsibility for any bookings or cancellations at caravan or camp sites and you are fully responsible for any fees due.

  • Knights Away will not accept any claims or requests for any loss of bookings due to events beyond our control, or as a result of hire cancellation.

Fuel, Oil, Gas and other consumables

• The vehicle is supplied with a full tank of fuel and should be returned in the same manner.

  • If the fuel tank is not showing as full then it will be refuelled at the cost of the fuel plus the admin charge noted above.

  • The Motor home will be supplied with 1x 11kg gas cylinder. If more gas is required, this is the responsibility of the hirer. You can purchase further gas bottle on collection. In any event the cylinder(s) must be returned with the Motorhome.

Accidents
  • In the event of an accident the safety of the hirer and their party is paramount. Emergency services should be called first if necessary and the accident dealt with in the necessary manner. Only after everyone involved in the accident is safe should the hirer contact the company if necessary and then try and minimise loss to the company if it is safe to do so. Regardless of how minor the accident may seem, full details of anyone involved need to be noted down in the accident report form which is kept in the vehicle. This is the responsibility of the hirer.

  • If the accident is of a serious nature, causing any damage to the vehicle, another vehicle or third party, then the company must be informed. You are provided with a first aid kit, fire extinguisher & a fire blanket. Please do inform us of any use of any of these items so that we can replace them. Failure to do so may cause a hazard for future hirers.

  • Once again Knights Away request all parties have their own personal travel insurance.

Events Beyond Our Control
  • Unfortunately, events beyond our control occasionally affect bookings. When reference is made to such events in these Terms and Conditions of Hire, this means any event(s) or circumstance(s) which we could not, even with all due care, foresee or avoid.

  • Knights Away cannot accept responsibility or pay any compensation, costs or expenses where the performance of your contract with us is prevented or affected or you otherwise suffer any loss or damage as a result of events beyond our control, however if your booking has to be cancelled as a result of this situation Knights Away will provide a full refund of all monies paid on a days missed pro rata basis.

Suitable Persons

• We have the right to refuse hire to or hand over a vehicle to any person who, in our reasonable opinion, is not suitable to take charge. In such cases, no refund of the hire charge will be made by Knights Away who will have no further liability.

Your Responsibilities

• You are responsible for the security of the vehicle at all times during the hire period. You must not drive the vehicle ‘Off Road’ other than for reasonable access to a campsite. Should you become stuck at any time while ‘Off Road’, you will be responsible for any recovery costs. The breakdown cover is for roadside assistance only. Please remember our vehicles are fitted with a tracker, and your route is available for us to check during your hire period.

  • You are responsible for all fines and other legal charges, including but not limited to parking fines, toll fees, speeding fines, the full cost of any fees associated with the vehicle being impounded, and any on-the-spot fines. UK speed limits for vehicles are as follows. Built-up areas: 30mph ( 20mph in some residential

    areas ), single carriageways: 50mph, dual carriageways: 60mph, motorways: 70mph. Our tracking system also monitors & logs the speed the vehicle is moving.

  • You are responsible for all the keys that belong to the vehicle. Lost keys are expensive and are not included as part of the breakdown service. You will be responsible for the full cost of the replacement keys and replacement locks if required. You will also be liable for the full cost of repairing any damage caused by the forced entry of the vehicle.

  • You must not sell, rent, lend or dispose of the vehicle or any of its parts; you must not give anyone legal rights over the vehicle. The vehicle remains the property of Knights Away at all times.

  • At the time of handover, the vehicle will be in a documented roadworthy condition. You must maintain the vehicle in a roadworthy condition at all times. You must report any fault in or on the vehicle as soon as possible to us, allowing us reasonable time to locate parts and make any necessary repairs.

  • You must make sure that you use the correct fuel. Using the wrong fuel is not covered by the breakdown service, and you will be liable for the full cost of any remedial repairs required as a result of using the wrong fuel.

  • The hirer shall be responsible for all OVERHEAD DAMAGE resulting from any accident – overhead damage is defined from the ground to in excess of 4 metres or 11’3” off the ground.

  • Damage to the WINDSCREEN, TYRES & PUNCTURES is the responsibility of the hirer. You are required to check the condition of the tyres & engine fluid levels on a daily basis whilst you have the motorhome on hire.

  • Before you vacate the vehicle you must check that you have not left any personal belongings in the vehicle. Knights Away is not responsible for any personal belongings left in the vehicle and is hereby authorised to dispose of the same after the end of the hire.

Vehicle Ownership

• The vehicle remains the property of Knights Away Ltd at all times and we may repossess the vehicle at any time without further notice if you are in breach of this agreement

Extra Charges
  • All extra charges will be deducted from your security deposit.

  • Toilet cassette not empty & cleaned £100

  • Any cooking appliances or equipment found to be uncleaned £100.

  • Fuel tanked unfilled – £75 plus costs of fuel.

  • Valet penalty if returned in unsuitable condition £100

  • Stained carpets or seating/furniture - £100 per stain.

  • Damage to leather interior or Floors from dogs - a quote will be obtained for repair before your security can be returned.

  • Speeding: The vehicle is not designed to exceed 70mph for passenger & vehicle safety £150

Mileage

• Unlimited mileage is included with the hire of all our vehicles

General Data Protection Regulations (GDPR)
  • The information that you have provided to Knights Away will be used to fulfill this contract placed with us.

  • We will not pass this information onto any other organisation outside this company other than our insurer and our insurance broker.

Governing Law

• This agreement is subject to the laws of England and Wales. Any disputes not resolved by mutual agreement may only be settled in the courts of this jurisdiction.

Severance

• If any provision or part-provision of this agreement is or becomes invalid, illegal, or unenforceable, it shall be deemed modified to the minimum extent necessary to make it valid, legal and enforceable. If such modification is not possible, the relevant provision or part-provision shall be deemed deleted. Any modification to or deletion of a provision or part-provision under this clause shall not affect the validity and enforceability of the rest of this agreement.

Entire Agreement

• The parties agree that the agreement constitutes the entire agreement between them, and supersedes all previous drafts, agreements, arrangements and understandings between them, whether oral or written.
